Position Summary

Our warehouse is the operational heartbeat of The Footy League.

The Warehouse Operations & Fulfillment Manager is responsible for building, managing, and continuously improving the systems that keep our leagues launching on time, our events fully equipped, and our expansion markets supplied across the country.

This role owns warehouse operations, inventory management, fulfillment, logistics, shipping, merchandise fulfillment, in-house jersey production, and is responsible for developing the systems needed to accomplish it.

Working closely with League Operations, Field Operations, Referee Operations, Marketing, Expansion, and Leadership, you’ll help build the infrastructure that allows The Footy League to continue growing.

Success in this role means our warehouse operates efficiently, our inventory is accurate, our leagues launch flawlessly, our events are fully equipped, and our operational systems become smarter every season.

Core Responsibilities

Warehouse Operations

  • Maintain a clean, organized, safe, and efficient warehouse

  • Design and continuously improve warehouse organization systems

  • Receive, inspect, organize, and store incoming inventory

  • Maintain logical warehouse layouts and storage locations

  • Conduct regular inventory audits and cycle counts

  • Maintain warehouse equipment and ensure workspaces remain clean and operational

League Fulfillment

  • Prepare jerseys for every league launch across all markets

  • Organize, sort, label, and package jerseys by market, league, team, and player

  • Coordinate fulfillment timelines with League Operations and Field Operations teams

  • Ensure all league fulfillment deliverables launch accurately, completely, and on schedule

Inventory Management

  • Maintain accurate inventory counts across all warehouse inventory

  • Develop and maintain minimum inventory thresholds for critical items

  • Monitor inventory levels and forecast future needs based on league schedules, seasonal demand, and growth projections

  • Partner with Field Operations and Referee Operations to identify equipment needs and replacement priorities

  • Collaborate on procurement planning for jerseys, soccer balls, goals, bags, tents, referee equipment, merchandise, and operational supplies

  • Prepare purchasing recommendations and reorder requests for long lead-time inventory

  • Conduct routine inventory audits and investigate discrepancies

  • Track equipment condition, wear, damage, and loss in an organized and scalable format to inform replacement planning

  • Produce regular inventory reports and operational forecasting for leadership

Event Operations

  • Prepare equipment and supplies for tournaments, sponsorship activations, league events, and special projects

  • Stage complete event kits for pickup by staff

  • Ensure every event leaves the warehouse fully equipped and organized

  • Inspect equipment after/during events

  • Track damaged, missing, or worn equipment

  • Coordinate repairs and replacement recommendations

Team Leadership

  • Lead, hire, onboard, manage, and coordinate Warehouse Operations Associates and seasonal fulfillment staff as operational needs require

  • Plan staffing during seasonal fulfillment periods and major events

  • Delegate warehouse projects and event preparation

  • Maintain warehouse standards, procedures, and accountability

  • Foster a safe, organized, and high-performing warehouse culture

Shipping & Fulfillment

  • Manage merchandise order fulfillment

  • Pick, pack, and ship merchandise accurately and efficiently

  • Coordinate shipments to expansion markets nationwide

  • Ship jerseys, soccer balls, awards, equipment, and operational supplies

  • Track shipments and resolve delivery issues when necessary

In-House Jersey Production

  • Manage in-house jersey heat pressing operations

  • Produce player names, numbers, sponsor logos, and custom branding

  • Maintain heat press equipment and supplies

  • Coordinate production schedules around league launch deadlines

  • Ensure quality control standards are consistently met

Vendor & Manufacturing Coordination

  • Coordinate with manufacturers and suppliers on production timelines

  • Receive and inspect incoming shipments

  • Verify deliveries against purchase orders

  • Resolve quality or fulfillment issues with vendors

  • Maintain strong relationships with operational suppliers

AI & Operational Systems

At The Footy League, we believe AI is one of the most important operational tools of the future.

We’re looking for someone who doesn’t just use AI, but leverages it to build smarter systems.

The Warehouse Operations & Fulfillment Manager will actively use AI platforms currently utilized by TFL, and other emerging technologies to improve warehouse operations, reduce manual work, and create scalable operational infrastructure.

Responsibilities include:

  • Build AI-assisted inventory management systems

  • Design workflows that automatically track inventory receipts, fulfillment, transfers, returns, damaged inventory, adjustments, and stock levels

  • Develop dashboards that provide the right operational information to different stakeholders across the company

  • Build automations that eliminate repetitive manual tasks

  • Use AI to analyze operational bottlenecks and recommend improvements

  • Develop forecasting models that anticipate future inventory requirements based on historical usage, league growth, seasonality, and upcoming events

  • Continuously evaluate emerging AI tools that improve warehouse operations, logistics, fulfillment, reporting, and planning

  • Document systems and train teammates on newly developed workflows

Qualifications

We’re looking for someone who enjoys building systemsβ€”not simply maintaining them.

Ideal candidates will possess:

  • Experience in warehouse operations, logistics, fulfillment, inventory management, or supply chain operations

  • Collaborative mindset with strong interpersonal skills to sequence requests professionally and communicate clearly, respectfully, and proactively

  • Strong organizational skills and exceptional attention to detail

  • Excellent problem-solving and project management abilities

  • Ability to quickly adapt to new demands or changes in environment and deliver against them on tight or immediate schedules

  • Experience managing multiple priorities and deadlines

  • Experience leading warehouse or operations teams

  • Proficiency with Google Workspace, spreadsheets, and inventory management software

  • Comfort using AI tools to improve workflows and solve operational challenges

  • Experience with Airtable or other operational databases is a strong plus

  • Ability to safely lift and move warehouse inventory

  • A continuous improvement mindset and curiosity about technology and operations

Your First Year

During Your First 90 Days

Your first season is about learning.

You’ll immerse yourself in how The Footy League operates by learning our warehouse systems, inventory processes, league launch timelines, event operations, and fulfillment workflows.

By the end of your first 90 days, you’ll have:

  • Developed a deep understanding of our warehouse operations, inventory systems, and the seasonal cadence of league launches, events, and fulfillment

  • Learned how leagues are prepared and launched across multiple markets

  • Built strong working relationships with League Operations, Field Operations, Referee Operations, Marketing, Events, and Expansion teams

  • Become proficient with our inventory tools, operational software, and AI workflows

  • Successfully managed warehouse operations through your first full league season

  • Identified opportunities for future improvements while gaining an understanding of why our current processes exist

During Your Second 90 Days

With one full season behind you, you’ll begin implementing and testing improvements.

By the end of your second season, you’ll have:

  • Begun refining warehouse organization and operational workflows

  • Introduced process improvements that increase efficiency and accuracy

  • Started building AI-assisted inventory tools, dashboards, or automations

  • Improved inventory visibility for key stakeholders

  • Helped strengthen fulfillment and event preparation processes based on lessons learned during your first season

Within Your First Year

By the end of your first year, you’ll have:

  • Built a highly organized, reliable, and scalable warehouse operation

  • Established accurate inventory tracking and reporting systems

  • Standardized league fulfillment workflows across all markets

Location

This is primarily an NYC warehouse-based role with occasional travel to support tournaments, league launches, and special events.
