Tournaments and Events Coordinator
Reports to: Business Development & Events Manager

NYC Footy is the largest amateur soccer league in the U.S., bringing together tens of thousands of working professionals who are passionate about community, competition, and connection. We produce some of the most exciting adult soccer experiences in the country—including marquee tournaments like Governors Cup, Footy Fest, Cup of Dreams, Cost of Living Classic, Chopped Cheese Classic, KOTN Cup, and a wide range of branded events in partnership with major sponsors and partners.

As our event calendar continues to grow, we’re excited to welcome a proactive, organized, detail-driven Events Coordinator who wants to help shape the future of soccer experiences in the U.S.
Role Overview
The Events Coordinator will play a central role in planning, producing, and executing NYC Footy’s expanding portfolio of events—including fully owned tournaments, partner-produced events, and sponsor events. This role is ideal for someone who thrives in fast-moving environments, enjoys working on a wide variety of tasks, and takes pride in delivering exceptional experiences for players, sponsors, and partners.
You will work closely with the Events Manager but will be expected to take initiative, manage responsibilities independently, and collaborate across departments—including marketing, league operations, customer service, creative, and partnerships.
This role is hybrid with one weekly office day in NYC. Travel may be required for out-of-state and upstate events.
Key Responsibilities
Event Planning & Pre-Production
Assist in planning and executing small and large-scale tournaments (e.g., Governors Cup, Footy Fest Catskills, partner/sponsored tournaments).
Coordinate event prep workflows including timelines, checklists, staffing, and equipment logistics.
Assign and manage staff and team deliverables to ensure deadlines and targets are consistently met.
Handle vendor and venue communications, scheduling walkthroughs, and confirming operational details.
Contribute to event layout planning, check-in flows, field setup plans, activation spaces, and weather contingency plans.
Assist with budget tracking, quotes, purchasing, and inventory management.
Prepare and share complete event run-of-show for all events and tournaments
On-Site Event Operations
Support on-site setup and breakdown, ensuring all fields, HQ areas, signage, and sponsor activations are executed to NYC Footy standards.
Help manage, volunteers, and event staff.
Monitor real-time event flow, game schedules, hospitality, and troubleshooting.
Represent NYC Footy with professionalism when interacting with players, partners, brands, and venues.
Partnership & Sponsorship Coordination
Assist the Partnerships team with sponsor deliverables, activation planning, and on-site execution.
Coordinate media assets for sponsors, including capturing content or liaising with our videographers.
Ensure agreed upon sponsorship assets (booths, signage, sampling, engagement zones, merch, etc.) are delivered accurately at events.
Support the creation of post-event recaps and reports.
Logistics & Operations
Support field operations in the maintenance and tracking of event equipment, inventory, and storage.
Assist in packing and unloading vans, U-Hauls, and event materials.
Manage timelines around generators, Starlink, tech equipment, tents, tables, banners, apparel, and materials.
Coordinate travel logistics for staff and equipment when needed.
Booking travel and lodging for staff when required
Cross-Team Collaboration
Coordinate logistics with field operations and warehouse teams.
Work with marketing to support content capture, press, and social storytelling around events.
Support league operations when needed (registration checks, communication, player support).
Communicate clearly with internal teams about deadlines, deliverables, and updates.
Post-Event Responsibilities
Help prepare wrap-up reports, financial P&Ls, sponsor recaps, surveys, and performance metrics.
Conduct debriefs and recommend improvements for future events.
Assist with invoicing details, documentation, and record-keeping
Qualifications
Required
1–3 years of experience in event coordination, sports operations, production, or a related field.
Proven ability to execute high-energy, high-volume events with attention to detail.
Strong project management, time management, and communication skills.
Comfort working independently in a remote environment while managing multiple tasks simultaneously.
Ability to lift and transport event materials (tables, tents, signage, soccer equipment).
Willingness to work weekends and travel as needed.
Familiarity with Google Workspace, project management tools, and cloud-based organization.
Preferred
Passion for soccer, sports, or community events.
Experience with sponsor activations or branded events.
Content creation skills (photo/video) a plus.
Prior experience in a small, fast-growing company where roles overlap.
Background in operations, logistics, or customer-facing roles.
